How to reply to a Google review
Replying to reviews is the one part of Google you control without spending a dollar. Most shops in your trade leave every review unanswered. That is a missed chance, and it takes about 5 minutes a week to fix. Here is how to do it yourself, with sample replies you can copy.
Why a reply is worth your time
When someone picks a plumber or a roofer, they read the reviews. They also read what you wrote back. A reply shows two things at once: you read your reviews, and you talk to your customers after the job. A shop that answers a bad review calmly wins more calls than a shop with a higher rating and no replies.
The steps, on Google
These steps worked as of October 2026. Google moves things now and then, but the path has stayed the same for years.
- Open Google and search your business name.
- In the results, find your business panel and tap the reviews section. If you are signed in as the owner, you will see a “Reply” button under each review.
- Read the review fully, then write your answer in the box.
- Tap Post. The reply shows under the review, in public.
If the Reply button does not appear, you are not signed in with the account that owns the profile. Sign in with that one first.
What to write to a good review
Three parts: thank them, name the job, and leave the door open. Keep it short. Never copy the same words under every review.
Sample reply
“Thanks, Dana. Glad we could get the water heater swapped out before the weekend. If the new one ever acts up, you know where we are.”
What to write to a bad review
The rules: do not argue, do not explain the whole job, and never write while you are angry. Say sorry for the experience, say what you will do, and take the details private. Every future customer will read your side, so write for them, not for the reviewer.
Sample reply
“This is not the job we want to leave behind. We tried to reach you today to look at the leak again at no charge. If you get this, call the shop and we will come back out.”
One warning: if a review is not from a real customer, you can report it in Google Business Profile instead of replying. Do both if you like, but the reply matters more, because the report can take weeks.
How fast should you reply
Within a few days is fine. Within a few hours is better. A reply a month later still counts, so never skip one just because it sat. If you are behind, answer the bad reviews and the newest reviews first.
When replying yourself is enough
If you get a review or 2 a month, reply yourself and skip any tool. The trouble starts when the jobs stack up. Reviews sit unanswered for weeks, and nobody asks your happy customers to write one. That is the work we do. We write the replies in your voice, email your past customers to ask, and keep your profile current. You approve each reply with one tap, for $79 a month.
